Book your first bilty

01Before you start

You need three things in place. Most workspaces have them from the setup import.

• The consignor and consignee exist as parties in Master data.
• A lane rate card for the route, if you want freight filled in automatically.
• Your role includes shipments.write (“Book & edit bilties”). Owners, Dispatchers and Accountants have it by default.

02Open the new bilty form

1. In the sidebar open Transport / TMS → New bilty.
2. Check the branch in the top bar. The number preview, for example LHR/2026/01285, uses that branch’s counter.
3. The final number is issued only when you save, so an abandoned form never burns a number.

03Choose parties, lane and pay mode

1. Pick the consignor (who sends) and consignee (who receives). Start typing a name or NTN.
2. Choose from and to stations. The distance fills from the lane.
3. Pick the pay mode.

04Enter the goods

Choose the commodity; its HSN code comes with it and flows through to the invoice. Enter packages, actual weight and charged weight. Charged weight can’t be lower than actual weight unless your role can override rates.

05Rate it and add charges

1. Press Alt R or click Auto-rate to pull freight from the lane rate card.
2. Add Hamali, loading, detention or other charges as separate lines.
3. Sales tax is calculated from your tax profile — 18% by default, or the provincial rate for services.

06Save, print and share

1. Press Alt S or click Save bilty. The number is issued in the same step and can never be reused.
2. Print the A5 bilty. It carries a QR code that opens the public tracking page.
3. Click Share tracking link to send it on WhatsApp. The page shows status and last position, never prices.

07What happens next

The bilty appears on the dispatch board as Booked. From there you plan it into a trip — see Plan and dispatch a trip.
